This Privacy Policy explains how Common Share Inc. ("CommonShare," "we," "us," or "our") collects, uses, discloses, and protects personal information in connection with our public websites at www.commonshare.com and news.commonshare.com, including forms, scheduling pages, and chat features linked from those websites (collectively, the "Website").
Common Share Inc. is a Delaware corporation with an address at 1065 SW 8th Street, Miami, Florida 33130, United States.
This Privacy Policy covers the public Website only. It does not govern personal information that CommonShare processes through its hosted software platform, customer workspaces, APIs, marketplace, or other subscription services under a separate SaaS agreement or data processing agreement. If another privacy notice is presented when you use a particular service, that notice applies to that service.

4 B2B Marketing
We may use business contact information obtained directly from you or from events, referrals, partners, public professional sources, and commercial databases to send relevant B2B communications. We use consent where applicable law requires it and otherwise may rely on legitimate interests.
You can stop marketing emails by using the unsubscribe link in an email or contacting legal@commonshare.com. We may retain limited information on a suppression list so that we can honor your request. Opting out of marketing does not prevent necessary responses to your requests or other non-marketing communications.
5 Cookies and Similar Technologies
We use cookies and similar technologies to operate the Website, remember preferences, understand usage, provide chat, and support our business communications. Our current Website integrations include:

6 AI Assisted Chat
Our chat feature may use artificial intelligence to interpret a visitor's question and generate a response. A human representative may also participate in or follow up on the conversation. We process the content of your messages and related interaction data to provide the response, maintain the conversation, improve support, and follow up on business inquiries.
AI-generated responses may be inaccurate or incomplete and should not be treated as legal, regulatory, financial, or other professional advice. The Website chatbot is not used by CommonShare to make decisions that produce legal or similarly significant effects about individuals.
Do not submit sensitive personal information or confidential business information through the chat feature.
7 How We Disclose Personal Information
We may disclose personal information to:

8 International Data Transfers
CommonShare is based in the United States and operates internationally. Personal information may be stored or processed in the United States, European Union, Hong Kong, and other countries where we or our service providers operate. Privacy laws in those countries may differ from those in your location.
Where applicable law requires a transfer mechanism, we use legally recognized safeguards as appropriate, such as adequacy decisions, the European Commission's Standard Contractual Clauses, the UK International Data Transfer Agreement or UK Addendum, or a service provider's valid participation in an approved data-transfer framework. 9 Retention
We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, taking into account the nature and sensitivity of the information, our relationship with you, legal and contractual requirements, security needs, and applicable limitation periods.
Our general retention approach is:

Demo inquiries, chat records, event leads, referrals, and prospect records are generally retained for up to 24 months after the last meaningful interaction, unless a business relationship develops or a longer period is required for legal reasons.

Marketing records are retained until you opt out, object, or the record is removed through our periodic review of inactive contacts.

Limited suppression-list information may be retained as long as reasonably necessary to honor an opt-out or objection.

Analytics and cookie information is retained according to the configured retention periods of the relevant tool and only for as long as necessary for the stated analytics purposes. Information may be retained longer in aggregated or deidentified form where it no longer identifies an individual.

When retention is no longer necessary, we delete, anonymize, or securely isolate the information, subject to backup and legal requirements.

We use and retain these categories as described in Sections 3 and 9. We do not knowingly collect sensitive personal information through the Website. We have not sold personal information or shared it for cross-context behavioral advertising during the preceding 12 months. We have not knowingly sold or shared the personal information of consumers under 16.
California residents may have rights to know, access, correct, and delete personal information, and to receive information about sales, sharing, and disclosures, subject to the CCPA's applicability and exceptions. Because we do not sell or share personal information as defined by the CCPA, we do not offer a separate "Do Not Sell or Share My Personal Information" mechanism at this time.
12 Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
13 Children
The Website is designed for business audiences and is not directed to children. We do not knowingly collect personal information from anyone under 18 through Website forms or chat. If you believe a person under 18 has provided personal information to us, contact legal@commonshare.com.
14 Third Party Websites
The Website may link to websites or services operated by others. Their privacy practices are governed by their own notices, and we are not responsible for those practices.
